Define the session before the shopping list
Write down the number of adults, the fabric and the repair they will practice. A thin cotton practice patch and thick denim do not call for an identical needle and thread. Ask the instructor to choose and test the combination. A supply kit does not replace that instruction.
Make one sample seat
Set out the instructor-approved needle and thread, a practice piece, the garment or patch, and any marking tool the lesson needs. Record needle size, thread material and usable length. Check what the venue already owns before multiplying by ten.
Separate individual from shared supplies
Assign each adult the items they need while working. Keep shared scissors and templates at a designated place. Do not buy ten copies of a shared tool just because a beginner kit includes one. Make a separate list for replacements; choose its size with the instructor.
Compare two complete baskets
Price the missing needle and thread quantities from local suppliers, including shipping and tax. Compare that with a confirmed refill quote, including all contents and import charges. Exclude first-order coupons from your repeat-session budget. A lower headline kit price is not a lower workshop cost.
Work backwards from the event
Choose a date to inspect the parcel, then a date for an instructor trial and any local replacements. Tell the seller that inspection date as the needed-by date, rather than the workshop date. If a confirmed delivery window misses it, use a local source or supplies you already own.
Pack, count and reset
Use a written seat list while assembling the supplies. Store sharp tools in a suitable protective container. At the end, collect and count needles, put unused supplies back, and record actual consumption. That record tells you what the next session needs.
Your next-session checklist

- Needle size and thread material/length tested by instructor
- Venue-owned fabric, scissors and templates
- Missing supplies per seat and total
- Complete local basket including shipping and tax
- Confirmed import quote without first-order subsidy
- Needle storage, collection and count
- Actual supplies used after the session
